Using VowBirds as a planner
Updated
Beta. The planner workspace is live and still being updated, and access is by invitation: a couple invites you from their Account page, or VowBirds sets your account up as a planner. There is no sign-up form yet; use Talk to us on the For planners section of the home page.
The planner workspace is a second view of VowBirds built for people who run several weddings at once. It is deliberately plain: one table of weddings, a Today queue across all of them, and each wedding’s tasks, vendors, budget and guest list without the couple’s onboarding or inspiration around them. It lives at vowbirds.com/planner.
Getting a wedding into your workspace
- You create it. Press New wedding (or N), enter the couple’s first names, and start working. Invite the couple by email whenever you like; until they accept, the wedding shows as Invite pending and is yours to work in.
- The couple invites you. From their Account page, under Your planner, they enter your sign-in email. Open the link in that email, sign in, and the wedding appears in your table.
Either way the couple is the owner of their wedding. You are a member with planner access, and they can remove you at any time.
What you can and cannot see
- You can read and edit the timeline, tasks, vendors, budget and payments, and the guest list with RSVP replies.
- Private notes on each wedding are only visible to planners on that wedding. The couple never sees them.
- You cannot see the couple’s website drafts, their cards in Invite Studio, or messages guests leave on their site. Sending invitations and reminders stays with the couple.
- Couples never see your other weddings, your vendor book or your notes.
Working fast
Everything is reachable from the keyboard. ⌘K (or Ctrl K) opens the switcher: type a couple’s name to jump to their wedding, or pick an action. G then T opens Today, N adds whatever the page is about (a wedding, a task, a vendor), / focuses the filter, and 1 to 7 switch tabs inside a wedding. Press ? anywhere for the full list.
Today and This week gather every dated task, unpaid payment and RSVP deadline across your weddings. Select rows and press D to mark them done, T to move them to tomorrow or W a week out.
Vendors
Your vendor book belongs to your account. Attaching a vendor to a wedding copies the contact into that wedding, so the couple keeps it even if you leave, and so a change in your book never silently rewrites a past wedding. Vendor names you put on budget lines are visible to the couple; your notes on a vendor are not.
Vowbird AI
Vowbird AI works for planners too, scoped to one wedding or to all of them. It only ever receives summaries (dates, counts and totals, labelled W1, W2 and so on), never names, notes or one couple’s details inside another’s answer. It can draft tasks; nothing is saved until you apply them.
